This course will concentrate upon the work of system analysis, who are engaged in the broadly expanding field of systems analysis. System analysis is the investigation of business or information systems. It is the scientific study of the system process, including investigation of inputs and outputs, in order to find better, more economical, and more efficient means of processing. The systems analyst relies upon the scientific method and logical quantitative tools to develop and improve system. System analysis has developed into an important tool that organizations use to improved their productivity. There are many reasons why an organization spends time and money and dedicates resources to the analysis of its system. Advantages of System Analysis The application of systems analysis techniques to information processing has many benefits. These include: 1. Greater efficiency. Systems analysis methods help a firm to develop and maintain an organizational structure and operating procedures for maximum efficiency. 2. Maximizing profits. A business firm that operates efficiently and systematically is likely to generate greater profits. 3. Resources used to the best advantage. Systems analysis aids a firm in achieving high-quality output with the least investment of time, materials and other resources. 4. Reduction of human effort. System analysis encourages the best utilization and allocation of human effort and labor. Systems analysts attempt to uncover duplication, redundancy, and wasted effort, and to automate procedures whenever practical. 5. Faster turnaround. Efficiently organized procedures and operations make it possible to reach goals faster. This is true whether the output of the data, money, or the like. 6. Reducing or eliminating errors in data and information. An important goal of the systems analyst is to increase the accuracy of data generates and processed by a firm. 7. Consistent operations and procedures. Clearly written policy statements, diagrams, flowcharts, and such make it more likely that a firm's procedures and practices will be followed and maintained in a consistent manner. They also serve as guides for modification or alterations. Limitations of Systems Analysis Systems analysis is not a panacea for all information-handling problems. It has limitations that must be considered. The following list summarizes some of these constraints: 1. Some business problems are beyond the scope of systems analysis techniques. The most skillfully designed data flow system cannot help an organization that is falling because of serious financial problems or because it is marketing a product people no longer want. Problems created by pressures from outside the enterprise, such as from stockholders or the public, are also often beyond the reach of the system analyst. 2. System analysis efforts cost time and money. finding a long-term, permanent solution t a problem can be expensive investment, compared to a short-term temporary answer. 3. The human element can cause complications. A system analysts must take this into consideration. Much of the analyst's activities involve making changes in routines, systems, organizational structures, working patterns and conditions, and in other areas. People tend to oppose change. They resist adjusting to unfamiliar situations, even those that are in their best interests in the long run. The systems analysts has the responsibility of preparing employees, customers, management, vendors, and others to accept the modifications and alterations introduced by a new system. 4. Effort is required to sell a system. No matter how promising a systems analysis project may seem, it cannot sell itself. The people involved must be encouraged to cooperate in the development and implementation of the venture to ensure its success. The following most likely be good projects for acquisition by purchase, or outsourcing, or in house development: Group 1: An inventory control system for a pizza franchise. Group 2: A payroll system for a small retailer Group 3: A system to network and provide basic software offerings for 13 office personal computers. Group 4: A system to draw airplane galley installation assembly diagrams for an airplane manufacturer. Group 5: A system to process market research data gathered for new toys to be produced by the country's largest toy manufacturer. Group 6: A system to permit networked artists to collaborate by computer on artistic ventures. Group 7: A system to manage patient appointments, dental records, and billing for a clinic with four dentists. Group 8: A system to track traffic tickets issued by the state patrol and convey this information to the state drivers' licensing agency. Group 9: A system to perform automated check-writing and expense tracking for a funeral home. Group 10: A system to install in the field office of each franchisee, to be connected to the central headquarters of truck rental company for the purpose of tracking truck locations.
